1) Set Your Qualification Criteria

Before the doors open at venues like the NEC or ExCeL, it is vital to define what actually constitutes a “lead” for your team. While prize draws create volume, they rarely produce the quality needed for a high conversion rate. Aim to capture:

  • The Essentials: Name, company, job title, and verified contact details, always ensuring you are compliant with current data protection regulations.
  • Categories of Interest: Quickly note which specific products or services resonated with the visitor.
  • Personalised Commentary: Record specific details of the conversation; these notes are invaluable for a warm, personable follow-up later.
  • Timescales and Budgets: If relevant, understanding a prospect’s purchasing window helps you prioritise your “hot” leads effectively.

2) Utilise Modern Technology

Manual data entry is a common bottleneck that can delay your follow-up. Using digital tools ensures your data is accurate and instantly actionable:

  • Handheld Devices: Equip your team with tablets or mobile devices that are portable and easy to navigate while engaging with visitors on the stand.
  • Lead Capture Apps: Professional apps like Leadr or atEvent can often sync directly with your CRM or marketing automation systems, such as HubSpot.
  • Efficiency: Automated integration removes the need for laborious manual uploads and allows you to trigger a “thank you” email the very same day.
  • Show Scanners: While convenient, basic badge scanners often lack the depth of a custom app. Ensure you are still capturing the qualitative notes that differentiate a genuine lead from a simple scan.

3) The Reliable Backup

Technology can occasionally fail in high-density environments. Always have a supply of professional paper forms as a backup, designed to mirror your digital format to ensure data entry remains consistent.

How to Effectively Follow Up

You have no more than 72 hours before your lead goes cold. In fact, we recommend your lead follow-up starts the very next day. Whilst you’re fresh in their mind and before they get back into their day job, remind them about their experience with you.

Some of our customers have had success by sending a communication on the very same day. If you can, get the leads back to the office that day, and the team can start working on them. This is really important if your show is four days or more, because by the time the show is over, your leads from day one will be cold.

  • The 72-Hour Window: As mentioned, we recommend starting your follow-up the very next day. If you wait longer than 72 hours, the connection begins to go cold.
  • Personalise the Connection: Including a photo of your team on the stand is a fantastic, personable way to remind the prospect of their experience.
  • Multi-Channel Strategy: Combine a personalised email with a direct telephone call. Use the insights gathered on the day to keep the conversation relevant to their specific needs.
  • Measure the Success: Record and track your results against your initial goals to monitor the success of the event and plan more efficiently for the future.
